Reporting directly to the Executive Branch Manager, the Program Support Officer manages the Branch office and provides administrative and governance support. The Project Support Officer will provide responsive and quality advice, timely coordination of information, contribute to the development of reports, and briefings and work collaboratively as part of a multi-disciplinary team.
The Branch operates within an activity based working environment.

A current CMTEDD issued Personnel Vetting Program certificate (Baseline clearance equivalent) is required for this position, or the ability to obtain and maintain one.

WHAT YOU WILL DO
Under the general direction of the Executive Branch Manager, and with a degree of independence, the Program Support Officer will:
- Manage the office of the Executive Branch Manager, contributing to overall Branch planning and coordination of deliverables.
- Provide quality and timely administrative support, including developing and maintaining systems and structures to support the effective operation of the Branch.
- Develop and maintain cooperative and productive working relationships with key Branch and Program stakeholders to facilitate communication and information sharing and to direct enquiries.
- Resolve problems using expertise, taking the initiative to identify alternative courses of action including seeking assistance where required.
- Facilitate communication and coordination of administration activities including the provision of secretariat support, travel arrangements, processing finance and human resource arrangements.
- Implement systems that optimise efficiency, and effectively manage and maintain accurate Branch information including data entry, records management, and reporting.
- Support the Branch and Programs with basic research and analysis and contribute to the preparation of reports and project briefs in collaboration with subject matter experts, to support informed decision making and planning in an accurate and timely manner.
- Work as part of a multi-disciplinary team, working collaboratively and participating in action learning approaches in a continuous improvement environment.

Professional / Technical Skills and Knowledge
- Demonstrated experience providing high level administrative services in a government environment.
- Well-developed written and verbal communication skills to enable the preparation of a range of government documents.
- Proven experience in providing a broad range of administration and program support services including provision of secretariate services, calendar management, records management, document control, reporting, and preparation of correspondence.
- Ability to research and analyse to enable informed decisions using appropriate judgement and high-level attention to detail.
- Ability to prioritise workload and manage competing priorities in a fast-paced environment.
- Experience with administering records management systems and SharePoint systems desirable.
- Proactive in taking on challenges, expanding knowledge and experience, with an ability to contribute to and embrace new ways of working.
- Demonstrated ability to achieve results in a complex and dynamic environment, including strong time management and planning skills for self.
- Demonstrated ability to work under pressure, within tight timeframes, while also maintaining attention to detail and meeting deadlines.
